This Privacy Policy explains how RoommateRep (“we”, “us”, “our”) collects, uses, and protects your information when you use the RoommateRep mobile application and related services (the “App”).

Purpose of this policy

RoommateRep is designed to help roommates track shared responsibilities, payments, and behavior‑based reputation in a transparent and accountable way. This policy describes what information we collect, how we use it, and the choices you have.

Important: RoommateRep is a reputation and accountability tool. We verify identity to help prevent duplicate or fraudulent accounts, but we do not perform criminal background checks or safety screenings.

Information you provide directly

We collect information you provide when you create and use your account, including:

  • Account details: name, display name, email address, password (stored in hashed form), and profile information.
  • Household information: household name, address or general location, invite codes, and membership relationships.
  • Ledger and behavior entries: records of payments, shared expenses, responsibilities, and behavior events you log about yourself or roommates.
  • Reviews and feedback: written reviews, ratings, and confirmations or rejections of events or payments.
  • Identity verification data (limited): status of whether your identity has been verified and basic metadata (e.g., verification timestamp, provider, result as “verified” or “not verified”).

Information collected automatically

When you use the App, we may automatically collect:

  • Device information: device model, operating system version, app version, and basic device identifiers.
  • Usage data: screens viewed, features used, timestamps, and basic interaction patterns to improve the App.
  • Log and diagnostic data: crash reports, performance logs, and error traces to maintain stability.

Identity verification

If you choose to verify your identity, we may work with a third‑party verification provider. That provider may collect and process information such as your ID document and selfie directly. We receive only the verification result and limited metadata (for example, that your identity was successfully verified and when).

We do not store your full ID document image, biometric templates, or detailed background check data in the App.

Core functionality

We use your information to:

  • Create and manage your RoommateRep account and profile.
  • Allow you to create, join, and manage households and household members.
  • Record ledger entries, behavior events, and payment‑related records between roommates.
  • Calculate and display reputation scores and badges based on in‑app activity.
  • Handle event verification, payment confirmation, and dispute resolution workflows.

Improvement and security

We may also use your information to:

  • Monitor and improve the performance, reliability, and usability of the App.
  • Detect, prevent, and address fraud, abuse, or misuse of the App.
  • Maintain the integrity of the reputation and verification systems.

Legal and compliance

We may use or disclose information when we believe it is necessary to:

  • Comply with applicable laws, regulations, or legal processes.
  • Respond to lawful requests from law enforcement or government authorities.
  • Protect the rights, property, or safety of our users, the public, or RoommateRep.

Sharing within your household

RoommateRep is built around shared households. Certain information is visible to other members of your household, such as:

  • Your display name and basic profile information.
  • Ledger entries and behavior events associated with the household.
  • Reputation scores and badges as designed in the App.
  • Verification status (for example, whether your identity is verified).

Service providers

We may share limited information with third‑party service providers who help us operate the App (for example, hosting, analytics, crash reporting, or identity verification). These providers are only allowed to use your information to perform services on our behalf and must protect it appropriately.

Legal requirements and safety

We may disclose information if we believe in good faith that it is necessary to comply with a legal obligation, protect our rights, investigate fraud or abuse, or protect the safety of users or others.

No selling of personal data

We do not sell your personal information to third parties.

What verification means

Identity verification in RoommateRep is used solely to confirm that a user is a real person and that their identity matches the information they provided. It is primarily intended to prevent duplicate or fraudulent accounts and to support accountability within households.

What verification does not mean

Identity verification in RoommateRep does not include:

  • Criminal background checks.
  • Sex‑offender registry checks.
  • Credit checks or financial risk assessments.
  • Safety, behavioral, or character evaluations.

RoommateRep does not guarantee the safety, character, or suitability of any user, whether verified or unverified. Users are solely responsible for deciding who they live with and how they interact with others.

How long we keep your information

We retain your information for as long as your account is active or as needed to provide the App, resolve disputes, maintain accurate records, and comply with legal obligations.

Certain data, such as ledger entries, behavior events, and reputation‑related records, may be retained for a reasonable period to preserve the integrity of the reputation system, even if you leave a household.

Account deletion

If you request deletion of your account, we will remove or de‑identify personal information where reasonably possible, subject to any legal or operational requirements to retain certain records (for example, aggregated or anonymized data, or records needed for fraud prevention).

How we protect your information

We use reasonable technical and organizational measures to protect your information from unauthorized access, loss, misuse, or alteration. This may include encryption in transit, secure storage, and access controls.

However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security of your information.

Your controls

Depending on your location and applicable law, you may have rights such as:

  • Accessing the personal information we hold about you.
  • Updating or correcting your account information.
  • Deleting your account or requesting deletion of certain data.
  • Limiting certain types of processing where applicable.

Use by minors

RoommateRep is not intended for children under the age of 13 (or the minimum age required in your jurisdiction). We do not knowingly collect personal information from children under this age. If we become aware that we have collected such information, we will take steps to delete it.

Updates

We may update this Privacy Policy from time to time to reflect changes in the App, legal requirements, or how we handle your information. When we make material changes, we will update the “Last updated” date at the top of this page and may provide additional notice within the App.
